How much does an LMS cost in the UK? We break down per-user pricing, subscriptions, hidden fees and what businesses should actually compare.
How Much Does an LMS Cost in the UK? 2026 Pricing Guide
You've decided spreadsheets aren't cutting it anymore.
You want somewhere employees can complete their training, managers can track progress and certificates aren't scattered across inboxes and shared folders.
So you start looking for an LMS.
Then you encounter the frustrating part:
How much does one actually cost?
Some providers publish their prices. Others want you to book a demo. Some charge per employee, others per active user, and some quote one large annual licence fee.
Here's what UK businesses should know before comparing LMS prices.
The short answer
There isn't a standard price for a Learning Management System.
Current published UK pricing ranges from relatively inexpensive per-user platforms through to systems costing thousands or tens of thousands of pounds per year.
The reason for the variation is that you aren't always comparing the same product.
One quote might include:
LMS + course library + certificates + reporting + support
Another might only provide:
LMS software
...with training content, implementation and additional functionality charged separately.
So don't compare LMS providers using the headline number alone.
How is LMS pricing calculated?
You'll generally encounter a few different models.
1. Per-user pricing
You pay according to the number of people using the platform.
For example:
50 employees × £3 per month = £150 per month
This is straightforward, although you need to understand exactly what the provider means by a "user".
Are you paying for every employee registered on the system?
Or only employees who actually use it?
2. Per-active-user pricing
Instead of paying for every account, some platforms charge according to the number of people actively using the LMS.
This can work well where usage fluctuates.
However, your costs may become less predictable if the number of active learners changes significantly from month to month.
3. Pricing bands
Rather than charging an exact amount for every employee, some providers offer plans such as:
Up to 10 employees
11–30 employees
31–75 employees
76–150 employees
This makes monthly or annual costs predictable.
The downside is that a business with 31 employees may pay the same as one with considerably more employees within the same band.
4. Flat platform fee
Some providers charge a fixed monthly or annual licence.
This is more common with larger or more sophisticated LMS products.
There may then be additional charges for users, content or functionality.
5. Bespoke enterprise pricing
Large organisations often receive individual quotes based on requirements such as:
Number of users
Integrations
Single Sign-On
Reporting
Multiple administrators
Branding
Support requirements
Implementation
Custom functionality
At this level, it's common to see “Contact us for pricing” rather than a public price.
So what does an LMS actually cost?
Published prices illustrate just how wide the market is.
Some relatively simple platforms cost only a few pounds per user each month, while more sophisticated systems can cost considerably more.
For example, Microsoft's Viva Learning is currently advertised at £3.10 per user/month on an annual commitment, although this isn't directly equivalent to an LMS bundled with a compliance course library. (Microsoft)
Other LMS providers publish prices around £3–£6+ per user/month, depending on user numbers and functionality.
At the other end of the market, enterprise systems can run into tens of thousands of pounds annually.
The important point is:
“How much does an LMS cost?” isn't quite the right question.
A better question is:
“What will it cost us to achieve what we actually need?”
The hidden cost: training content
This is one of the biggest things to check.
Imagine you've found an LMS for:
£1,000 per year.
Great.
But then you discover that's just the platform.
You still need courses covering:
Health and safety
Fire safety
GDPR
Manual handling
Safeguarding
Equality and diversity
Cyber security
If every course has to be purchased separately, the real annual cost may be significantly higher.
Another provider might charge £1,500 but include the training library.
The second option could therefore be cheaper overall despite having the higher headline LMS price.
When comparing providers, always ask:
Is the training content included?
Watch for implementation fees
Your subscription isn't necessarily your total first-year cost.
Some LMS providers charge separately for:
Initial setup
Implementation
Data migration
Administrator training
Branding
Integrations
Consultancy
For example, some publicly available UK LMS pricing schedules separate platform costs from onboarding and implementation fees.
Before signing anything, ask:
“What is our total cost in year one?”
Then ask:
“What will it cost in year two?”
Those numbers may be very different.
What about setup time?
Cost isn't only money.
Imagine Platform A costs £200 less than Platform B.
But Platform A requires you to:
Configure the LMS
Upload employees
Set permissions
Build learning pathways
Assign courses
Configure certificates
Learn how everything works
If a manager spends two working days implementing it, the cheaper platform might not really be cheaper.
This is particularly relevant for small businesses without a dedicated Learning & Development team.
MoreCPD takes a different approach: we set your training platform up for you.
You provide your logo, employee names and email addresses, and tell us which courses you want assigned.
We handle the initial setup, typically within 24 hours.
What does MoreCPD cost?
MoreCPD combines the learning platform with access to our standard online training library.
Our current staff training plans are:

Annual plans effectively provide two months free compared with paying monthly across the year.
Plans include the learning platform and standard training library rather than requiring businesses to separately purchase the LMS and every standard course.
Additional training such as MHFA and IOSH can also be added separately.

Let's compare the cost per employee
The headline price becomes more interesting when you divide it across the workforce.
Take the Growth plan.
At the maximum 30 employees:
£950 ÷ 30 = approximately £31.67 per employee per year
That's approximately:
£2.64 per employee per month.
And that isn't simply the cost of storing an employee on an LMS.
It includes access to the standard training library.
For an organisation that needs employees to complete several courses each year, comparing cost per employee can be much more useful than comparing individual course prices.
Five questions to ask every LMS provider
Before choosing a platform, ask these:
1. What's included in the quoted price?
Platform? Courses? Certificates? Reporting? Support?
2. Are there setup or implementation fees?
Ask for the total first-year cost.
3. How does pricing change as we grow?
A good deal for 20 employees might become expensive at 100.
4. Is there a minimum contract?
Check whether you're committing monthly, annually or for several years.
5. What will we still have to manage ourselves?
A cheap LMS requiring considerable administration may not represent better value.
LMS price vs cost of administration
There's another cost businesses rarely calculate.
Staff time.
Suppose a manager spends three hours every month:
Assigning courses
Chasing employees
Updating spreadsheets
Downloading certificates
Checking renewal dates
That's:
36 hours per year.
If their employment cost is £25 per hour, that's roughly:
£900 per year in administration.
Suddenly a system that removes much of that work looks very different financially.
The value of an LMS isn't simply the price of the software.
It's also the administrative time it can remove.
When is an LMS worth paying for?
You probably don't need a sophisticated LMS if:
You employ two people
Training is infrequent
You have very few requirements
Managing records manually takes virtually no time
The business case becomes stronger when:
Your workforce is growing
Employees require multiple courses
You regularly onboard new starters
Certificates need tracking
Refresher training needs monitoring
Managers spend time chasing completion
Training spreadsheets are becoming difficult to maintain
At that point, you're not simply buying software.
You're buying back administrative time.
Compare the total cost, not the headline price
When comparing LMS providers, calculate:
Platform
Training content
Setup
Implementation
Support
Administration time
=
Real cost
That's the number worth comparing.

LMS Pricing FAQs
How much does an LMS cost per employee?
Prices vary considerably according to the platform, number of users, features and whether training content is included. Published UK-market examples range from low single-digit per-user monthly pricing to substantially higher enterprise costs.
Is LMS software charged monthly or annually?
Both models are common. Some providers also require annual or multi-year commitments, so check the contract terms rather than assuming a displayed monthly price means a monthly contract.
Are online courses included with an LMS?
Not always. Some LMS providers supply the platform only and charge separately for learning content. Others bundle a course library with the subscription.
Are there LMS setup fees?
Some providers charge implementation, onboarding, migration or configuration fees. Others include setup within the subscription. Always ask for the total first-year cost.
Does MoreCPD include the LMS and courses?
MoreCPD's staff training subscriptions combine the employee learning platform with access to the standard course library. Additional specialist products such as MHFA and IOSH are available separately.
